Terms of Service
Last updated: June 2026
1. About VoxMate
VoxMate is an AI-powered phone receptionist operated by Bloomorbit Ltd, incorporated in England and Wales. These terms govern your use of VoxMate and form a binding agreement between you and Bloomorbit Ltd. References to we, us, or VoxMate mean Bloomorbit Ltd.
2. Eligibility
You must be at least 18 years old, operating a legitimate UK trade business, and provide accurate information at registration.
3. The service
VoxMate answers inbound calls to your dedicated UK number in your business name, captures caller details, and delivers a WhatsApp summary. VoxMate does not make outbound calls, does not book appointments, and does not replace emergency services. Callers reporting emergencies are advised to contact 999.
4. Your account
Provide accurate information. Maintain account security. Notify us immediately at hello@voxmate.co.uk of any unauthorised access. One account per business.
5. Acceptable use
Do not use VoxMate for unlawful purposes, to misrepresent your business, or to circumvent call limits. We may suspend accounts in breach of these terms.
6. Caller data and GDPR
When VoxMate handles calls on your behalf, you are the data controller for caller data. We act as your data processor. You are responsible for having a lawful basis for collecting caller data. Call recordings require verbal consent — VoxMate plays a consent prompt before recording begins. Do not disable this.
7. Pricing and payment
£1 trial: 30 days, 30 calls, £1 charged on signup, one per business. Full plan price applies from day 31. Cancel before day 30 for no further charge. Starter: £49 plus VAT per month, 50 calls. Pro: £85 plus VAT per month, 150 calls. Agency: £189 plus VAT per month, 500 calls, up to 5 numbers. No setup fees. Payments monthly in advance via Stripe. Call limits enforced server-side.
8. Cancellation
Cancel anytime from account settings. Takes effect at end of billing period. No refunds for partial months. Number released 30 days after cancellation.
9. Limitation of liability
VoxMate is provided as is. We are not liable for missed calls, inaccurate transcriptions, or indirect losses. Our total liability is capped at amounts paid in the 3 months preceding any claim. Nothing limits liability for death, personal injury, or fraud.
10. Governing law
England and Wales. Contact hello@voxmate.co.uk before initiating formal proceedings.
11. Data controller and processor relationship
When VoxMate answers calls on your behalf and captures caller information, VoxMate acts as a data processor and you (the tradesperson) act as the data controller for that caller data under UK GDPR. By using VoxMate, you confirm that you have a lawful basis for processing caller data and that you will handle it in accordance with applicable data protection law. VoxMate’s role as data processor is governed by the Data Processing Terms available at voxmate.co.uk/dpa.
12. Caller transparency obligation
You must not configure VoxMate in a way that prevents callers from understanding they are speaking with an AI assistant. VoxMate’s default configuration includes a verbal notice to callers at the start of each call. You must not modify the system prompt or configuration to remove this notice.
13. AI processing
VoxMate uses artificial intelligence to answer calls, transcribe conversations, generate call summaries, and estimate job values. AI outputs including call summaries and job value estimates are generated automatically and may not always be accurate. You should verify important information directly with callers before acting on it.
14. Data retention
Call transcripts and recordings are deleted after 30 days. Structured lead data is deleted after 12 months. These deletions are automatic and cannot be reversed.
